How it works

A clear arrangement: we own the software, you own your business.

Every J-Mach customer works under the same simple licence. It is written in plain English and it says the same thing to everyone.

Who owns what

J-Mach owns and maintains

  • The software itself, including improvements you ask for and pay for
  • The Mach platform and everything built on it
  • The hosting accounts, deployments and monitoring
  • Responsibility for keeping it running, patched and backed up

You own and keep

  • All of your data: customers, orders, certificates, documents, everything
  • Your domain names, which are registered to you and handed back if you leave
  • Your branding, content, training material and templates
  • The files in your own Microsoft 365, where the system stores them

J-Mach licenses the software to you for as long as you use it. If you ever leave, your data comes back to you as CSV files and your original documents, and your domain is transferred to you. The software is not handed over, because it is what we sell.

Where it runs

Render

The API and the PostgreSQL database run on Render, a managed cloud host. Databases are backed up daily with point-in-time recovery.

Vercel

Websites and the browser apps your staff use run on Vercel, deployed automatically from source control and served from a global edge network.

Your Microsoft 365

Documents the system produces or receives are filed into your own OneDrive or SharePoint, so they are yours and searchable in the tools you already have.

The monthly service

Hosting and maintenance are one monthly service, not a hosting bill plus a support contract plus an hourly rate for changes. It covers:

  • Hosting of the API, database, apps and websites
  • Backups, monitoring and security updates
  • Keeping integrations working as Xero, couriers and Mailchimp change their APIs
  • Small changes, new reports and adjustments as your business moves
  • A watch on legislation that affects what the system records, flagged to you rather than interpreted for you
  • Support during working hours from the person who wrote the system

Larger pieces of work, such as a new module or a new website, are quoted separately before they start.

Data protection

J-Mach processes personal data in your systems only on your instructions, as your processor. The licence sets out what is processed, where it is held and what happens to it when the arrangement ends.

Security

Per-user logins, role-based access, hashed passwords, encrypted connections, and customer portals that can only ever see their own records.

Copyright

Every system carries a J-Mach copyright notice. The software is licensed, not sold, and is not for copying or resale.

Independent by design

J-Mach is an independent software company. Its customers include the distributors, training providers and safety companies whose systems are described on this site, each under its own licence. That independence is what lets one platform serve several businesses without any of them depending on the others.
