A quotation and ERP platform to replace OrderWise

The customer

VTM quotes and supplies electronic components to manufacturers. Their business ran on OrderWise, a legacy installed ERP, with quoting done around it in spreadsheets and email. J-Mach built the Mach platform for them and is migrating them off OrderWise.

What they needed

  • Quote faster from customer bills of materials, with supplier pricing in the loop
  • One system for orders, stock, despatch and accounts instead of an ERP plus workarounds
  • Leave OrderWise without losing thirty years of history
  • Keep the QA system and its records under control for audits

What J-Mach built

  • Mach Quote: BOM parsing, distributor lookups, RFQ supplier costing round trip, partial wins
  • Mach Core: sales and purchase orders with per-line dates, allocation and margin
  • Mach Stock: lot-level reservation, due-out, picking lists, reorder queue
  • Mach Ship: despatch, cartons, DHL, FedEx and UPS booking, customs documents
  • Mach Books: Xero set-up, open items, VAT treatment, invoice matching
  • Mach Pulse: KPI dashboards and the reports OrderWise used to produce
  • QA compliance: what's-due dashboard, QMS documents, training records, audit schedule
  • Outlook add-in that captures an email into a request for quotation
  • Migration tooling: CSV import of customers, suppliers, products, orders, despatches and ledger from OrderWise
  • Website work on vtm.co.uk, including the stock listing and a health and wellness category
  • Mailchimp as the outbound marketing channel, with Mach Reach to follow

Status

In daily use. Migration off OrderWise in progress.

How it runs

Node and Express API with PostgreSQL on Render; React front end on Vercel; Microsoft Graph for OneDrive filing; Xero, DHL, FedEx, UPS and Mailchimp APIs.

Arrangement

Built, hosted and maintained by J-Mach under licence. VTM UK Limited owns its data, domain and branding.
